Who we are
SleepSafeCanada is a national sleep health and safety initiative presented by The Sleep Society, an organization founded in British Columbia, Canada. In this policy, “we”, “us” and “our” refer to SleepSafeCanada and The Sleep Society.
This policy explains what personal information we collect through sleepsafecanada.ca, why we collect it, how we use and protect it, and the choices you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, provincial privacy laws such as British Columbia’s Personal Information Protection Act and Quebec’s Act respecting the protection of personal information in the private sector.
What information we collect
Information you give us. When you use our contact form, we collect:
- your name
- your email address
- your organization (optional)
- the subject you select and the message you write
- your consent to be contacted about your message
Information collected automatically. Like most websites, our web server and security systems record technical information such as your IP address, browser type, and the date and time of your visit. This is used only to operate the website, keep it secure and prevent abuse.
Information we do not collect. We do not use analytics, advertising or social media tracking tools, and we do not create visitor profiles. Please do not send personal health information through the contact form. SleepSafeCanada provides public education and cannot give personal medical advice.
How we use your information
We use the information you provide only to:
- respond to your question, idea or request
- follow up about becoming an endorser, partner, supporter or sponsor of an initiative, when you ask us to
- keep a record of our correspondence with you
- protect the website against spam, fraud and security threats
We will not add you to a mailing list or send you newsletters or promotional messages unless you ask to receive them. You can withdraw that consent at any time, in line with Canada’s anti-spam legislation (CASL).
Consent
By submitting the contact form and ticking the consent box, you agree to our use of your information as described in this policy. You may withdraw your consent at any time by contacting us. If you do, we may not be able to respond to or continue our conversation with you.
How we share information
We do not sell, rent or trade your personal information. We share it only:
- with the SleepSafeCanada and Sleep Society team members who need it to respond to you
- with service providers who help us run the website and email, such as our web hosting provider, who may only use it to provide their services to us
- when required by law, or to protect the rights, safety and security of our visitors, our organization or others
Where your information is stored
Our website is hosted in Canada by Web Hosting Canada, a Canadian company with its data centres in Canada. Messages sent through the contact form are delivered by email to our team. If a service provider ever processes information outside Canada, it may be subject to the laws of that jurisdiction, and we will take reasonable steps to ensure it is protected to a comparable standard.
How long we keep information
We keep personal information only as long as it is needed for the purposes described in this policy, or as required by law. Contact form messages are generally kept for no longer than 24 months after our last exchange with you, unless an ongoing collaboration requires us to keep them longer. Technical security logs are kept for a limited time and then deleted automatically.
How we protect information
We use reasonable administrative, technical and physical safeguards to protect personal information, including an encrypted (HTTPS) connection, security monitoring and restricted access to our systems. No method of transmission over the internet is completely secure, but we work to protect your information and will notify you and the appropriate authorities of any breach that creates a real risk of significant harm, as required by law.
Cookies
Our website does not use cookies to track visitors or for advertising. Cookies are only used when a site administrator logs in to manage the website.
Links to other websites
Our website links to other websites, such as The Sleep Society, A Better Sleep and Web Hosting Canada. We are not responsible for the privacy practices of other websites and encourage you to read their privacy policies.
Children
Our website provides public education for all ages, but our contact form is intended for adults. We do not knowingly collect personal information from children under the age of 14 without the consent of a parent or guardian.
Your rights
You have the right to:
- ask whether we hold personal information about you and request access to it
- ask us to correct information that is inaccurate or incomplete
- withdraw your consent, or ask us to delete your information where we are not required to keep it
- know how your information has been used and shared
To make a request, contact us at contactus@thesleepsociety.org. We will respond within 30 days. We may need to confirm your identity before acting on a request.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada, or the privacy authority in your province, such as the Office of the Information and Privacy Commissioner for British Columbia or the Commission d’accès à l’information du Québec.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last updated. Significant changes will be highlighted on this page.
